Job Description:
At the heart of production, the Assistant Project Manager for Energy Audit streamlines and ensures the smooth progress of dossiers. Their mission: to ensure that each audit progresses on time, by providing organization, logistics coordination, and rigorous administrative follow-up of dossiers, in support of project managers. Your main responsibilities Organization and planning Scheduling appointments with stakeholders (authorities, representatives, auditors) and managing agendas Organizing site visits: planning, logistics, confirmation, and follow-up of appointments Coordination of different stakeholders (auditors, subcontractors, field representatives)Document management and follow-ups Collection of documents necessary for audits (plans, DOE, energy bills, building data...)Systematic follow-up and tracking of pending document requests Classification, archiving, and updating of dossiers in company tools Subcontracting and external coordination Sending plans and necessary documents for subcontracting Monitoring deliverables from subcontractors and follow-ups until receipt Administrative follow-up and reporting Updating tracking tables (progress of dossiers, deadlines, blockage points)Confirmation and follow-up on scheduled or rescheduled appointments Writing meeting minutes and updating tracking tools Relations and communication Organizational contact person for authorities and representatives for logistics of visits Clear, courteous, and pedagogical communication, both written and verbal Profile Sought This position is primarily for a rigorous, organized, and methodical person who likes things to move forward and be kept on track. Rigor, organizational skills, and methodical approach: the heart of the position Ability to manage multiple dossiers in parallel, attention to detail, and awareness of deadlines Excellent interpersonal skills and frequent use of the phone and email Writing quality both written and verbal Proficiency in office tools (Outlook, Excel, Word) and an interest in digital tools Autonomy, reliability, commitment, and team spirit
Recruitment Process:
The position is attached to the Production Department and works closely with energy audit project managers and field teams. We offer a three-step recruitment process: A telephone pre-selection interview (15 minutes)A video interview with the HR departmentA physical interview with the service director
