The City of Millville is seeking a professional and reliable individual to join the Department of Public Safety - Police Department as a Clerk I assigned to Police Records. This position plays an important role in maintaining the accuracy, organization, security, and confidentiality of Police Department records. The ideal candidate will take pride in accurate work, manage responsibilities independently, meet deadlines, and understand the importance of confidentiality when working with sensitive law enforcement information. A criminal background check and fingerprinting will be a requirement of the position.
What You'll Do:
Receive, review, process, organize, file, and maintain police reports, records, forms, correspondence, and other documents.
Review documents for accuracy and completeness.
Enter, update, retrieve, and verify information using departmental records systems and databases.
Maintain organized electronic and paper filing systems and retrieve records as authorized.
Assist with requests for police reports and records in accordance with established procedures.
Scan, copy, index, label, file, and track documents and records.
Maintain logs and compile information for routine reports.
Answer telephone calls and assist visitors in a professional manner.
Provide routine information to the public and authorized personnel and refer sensitive or non-routine inquiries appropriately.
Safeguard confidential, sensitive, and restricted information from unauthorized access or disclosure.
Prioritize assignments and complete work accurately within established deadlines.
Work professionally with police personnel, City employees, governmental agencies, and members of the public.
Perform other related clerical duties as assigned.
What We're Looking For:
The ideal candidate will demonstrate the professionalism, judgment, and attention to detail necessary to work effectively in a law enforcement records environment. Candidates should possess the following experience, qualifications and abilities: High level of integrity, confidentiality, and discretion, with the ability to appropriately handle sensitive, confidential, and restricted law enforcement information and records. Strong organizational and time-management skills, including the ability to maintain orderly records, manage multiple assignments, establish priorities, and complete work within established deadlines. Exceptional attention to detail and accuracy, particularly when reviewing, entering, filing, retrieving, and maintaining records and other official documentation. Ability to work independently and remain productive with limited supervision while consistently following established departmental policies, procedures, and guidelines. Dependability and accountability, with a demonstrated ability to complete assigned responsibilities accurately, thoroughly, and in a timely manner. Strong written and verbal communication skills, with the ability to communicate clearly, professionally, and respectfully with individuals at all levels. Ability to understand and follow oral and written instructions, established procedures, and departmental requirements. Strong records-management skills, including the ability to maintain accurate, organized, and secure electronic and paper files and efficiently retrieve information when authorized. Ability and willingness to learn Police Department records-management systems, databases, terminology, procedures, and confidentiality requirements after appropriate training. Professional judgment and interpersonal skills when interacting with law enforcement personnel, City employees, governmental agencies, attorneys, members of the public, and other authorized individuals. Ability to recognize sensitive or non-routine matters and appropriately refer questions, requests, or concerns to supervisory or authorized personnel when necessary. Proficiency with basic computer and office technology, including the ability to learn and effectively use electronic databases, document-management systems, email, word-processing applications, scanners, copiers, and other standard office equipment. Previous clerical, administrative, records-management, or general office experience is strongly preferred, particularly experience involving confidential records, document processing, data entry, or public contact. Bilingual skills are strongly preferred but not required. The ability to effectively communicate with individuals from diverse backgrounds and provide professional customer service is highly valued.

This position involves regular access to confidential, sensitive, and restricted law enforcement information. The successful candidate must understand the importance of protecting police records and personal information and must exercise discretion at all times. Employees are expected to follow established procedures regarding access, release, storage, transmission, retention, and disposal of records. Unauthorized access to or disclosure of confidential information is strictly prohibited.
Civil Service:
This is a Non-Competitive New Jersey Civil Service position. Applicants must meet all applicable requirements established by the New Jersey Civil Service Commission for the Clerk 1 title. Employment may be subject to applicable background investigation and security requirements associated with employment within the Police Department.
Compensation & Benefits
Salary Range:
$34,135.48-$42,248.50 This position is represented by Council 18. Salary placement and progression are dictated by the applicable Council 18 salary guide and Collective Bargaining Agreement. Medical, dental, vision, and prescription coverage beginning on the 61st day of employment. Participation in the New Jersey Public Employees' Retirement System (PERS) once eligible.
