Role Summary:
Comprehensive Sleep Care Center is seeking a hands-on DME Manager / Senior DME Manager to lead its multi-location DME function. Reporting directly to the CEO, this in-office role owns day-to-day DME operations, team performance, patient setup and fulfillment, inventory readiness, workflow standardization, and operational controls. The role partners closely with RCM, Finance, Clinical Leadership, and Practice Operations while maintaining clear ownership boundaries for claims, denials, AR, and other revenue-cycle functions. Key ResponsibilitiesDME Operations & Patient Experience
- Lead daily DME operations across locations and ensure timely, accurate, patient-ready equipment setup and fulfillment.
- Establish consistent location schedules for mask fittings and other in-person DME services, with appropriate staffing and coverage.
- Ensure Enso kits, PAP machines, supplies, paperwork, and required documentation are prepared in advance for patient pickups and setups.
- Standardize setup, education, troubleshooting, exchange, and escalation workflows; address delays, cancellations, complaints, and recurring service failures. Team Leadership, SOPs & Accountability
- Lead and develop DME technicians and support staff with clear expectations for productivity, quality, responsiveness, and patient service.
- Maintain clear technician job descriptions, duties, performance expectations, decision rights, and escalation responsibilities.
- Develop and maintain SOPs for core DME responsibilities and ensure consistent training, adherence, staffing, and accountability. Workflow, Offshore Support & Cross-Functional Coordination
- Improve the end-to-end DME workflow from order / referral through setup, documentation, fulfillment, follow-up, and billing handoff.
- Develop and implement a plan to transfer appropriate setup-support responsibilities to the offshore team with defined scope, SOPs, QA controls, productivity expectations, escalation paths, and retained oversight.
- Establish a reliable process for collecting required patient upfront payments before equipment setup in coordination with Patient Access and RCM.
- Ensure Medicaid transfers through Parachute and RPM workflows have clear ownership, documented handoffs, timely execution, monitoring, and escalation. Inventory, Fulfillment & Vendor Management
- Own inventory planning, equipment availability, ordering, distribution, and location-level controls, including appropriate device / serial tracking and cycle counts.
- Maintain sufficient supply while reducing shortages, excess inventory, waste, and setup delays.
- Evaluate whether pack-and-ship should transition to McKesson; recommend an approach and lead implementation if approved, while managing DME vendors against defined service expectations. Compliance, Performance & Financial Management
- Maintain DME operations consistent with applicable CMS, HIPAA, AASM, payer, accreditation, manufacturer, and company requirements.
- Ensure required orders, signatures, proof of delivery, patient education, equipment records, and setup documentation are complete and retrievable.
- Conduct periodic quality reviews of documentation, inventory controls, patient files, and technician adherence to SOPs.
- Develop a practical DME scorecard covering setup volume and turnaround time, productivity, documentation completeness, upfront payment capture, backlog, inventory accuracy, and service issues.
- Provide concise reporting to the CEO and manage staffing, supplies, equipment, and vendor costs with appropriate budget discipline in partnership with Finance. Success in This Role Will Include
- Clear ownership, job expectations, SOPs, and accountability across the DME team.
- Reliable location schedules and advance preparation of equipment, supplies, payments, and documentation.
- Fewer patient delays or failed setups caused by missing information, supplies, or unclear ownership.
- A controlled offshore-support model with measurable quality and accountability.
- Reliable Medicaid / Parachute processing, documented RPM handoffs, and improved inventory / vendor performance.
- A concise DME scorecard that gives leadership visibility into performance, backlog, risks, and corrective actions.
Required Qualifications:
- Meaningful experience in DME, respiratory, sleep medicine, ambulatory healthcare, or comparable healthcare operations, including people-management responsibility.
- Strong working knowledge of PAP / respiratory equipment, patient setup workflows, DME documentation, inventory, and patient-service operations.
- Demonstrated ability to lead teams, build SOPs, establish accountability, and improve operational performance.
- Strong understanding of healthcare regulations and industry standards, including HIPAA, AASM, and CMS requirements.
- Strong organizational, communication, analytical, coaching, and problem-solving skills; bachelor’s degree or equivalent relevant experience.
Preferred Qualifications:
- Leadership experience in a multi-location DME, sleep medicine, respiratory, or physician-practice environment.
- RT / RRT, nursing, medical assistant, international medical graduate, or other relevant clinical background.
- Experience with BrightTree, eClinicalWorks, Parachute, PAP manufacturer portals, DME inventory / fulfillment systems, or comparable platforms.
- Experience managing offshore support, third-party fulfillment, vendors, operating KPIs, or department budgets. Title Calibration The role may be calibrated based on candidate experience with broader DME leadership, multi-site, vendor, and process-improvement experience.
