Position Summary:
The Investment Operations & Trading Manager is responsible for overseeing the firm's day-to-day investment trading, portfolio reporting, client billing, and trading-related compliance functions. The role works closely with Portfolio Management, Operations, Compliance, custodians, and technology providers to ensure investment activity is executed accurately, efficiently, and in accordance with client guidelines, firm policies, and regulatory requirements. The ideal candidate is highly detail-oriented, organized, analytical, and comfortable managing multiple processes with a high degree of accuracy and confidentiality.
Key Responsibilities:
Trading & Portfolio Operations• Execute and oversee daily investment trades across client accounts in accordance with portfolio manager instructions, investment strategies, and client guidelines and restrictions.• Coordinate equity, fixed-income, ETF, mutual fund, and other security transactions as applicable.• Monitor trade execution, allocations, confirmations, settlements, discrepancies, failed trades, and other operational exceptions.• Review portfolios for cash availability, target allocations, restrictions, and other trading considerations prior to execution.• Coordinate with custodians, brokers, portfolio managers, and other counterparties to resolve trading and settlement issues.• Assist with portfolio rebalancing and implementation of investment models.• Monitor corporate actions and their impact on client portfolios as applicable.• Create and maintain internally developed investment models and approved investment substitutes. Reporting & Portfolio Data• Prepare and maintain recurring portfolio, trading, performance, operational, and management reports for internal and client-facing purposes.• Reconcile and review positions, transactions, cash balances, and other portfolio data across custodians and internal systems for accuracy and completeness.• Support month-end, quarter-end, and year-end reporting processes.• Coordinate with technology and reporting vendors to troubleshoot data or reporting issues. Billing & Fee Administration• Manage the firm's investment advisory fee billing process, including fee calculations, reviews, and coordination with custodians and billing platforms.• Review billing reports for accuracy and resolve discrepancies.• Process or coordinate fee adjustments, refunds, prorations, and other billing-related activity.• Maintain documentation supporting client billing calculations.• Assist with periodic reviews of fee schedules and client billing arrangements. Trading-Related Compliance• Support the firm's compliance program related to investment trading, portfolio management, and performance reporting.• Conduct pre- and post-trade compliance monitoring to ensure adherence to client investment guidelines, account restrictions, and firm policies.• Identify and escalate potential trade errors, restricted-security issues, allocation issues, and other compliance exceptions.• Assist with regulatory and internal compliance reporting related to trading activity.• Support periodic reviews of employee and client trading activity, as applicable.• Work closely with the Chief Compliance Officer, Lead Advisor, and investment team to investigate and resolve trading-related compliance matters.• Assist with testing and documentation of trading controls, compliance reviews, and operational procedures. Process & Risk Management• Develop, document, and maintain standard operating procedures for trading, billing, reporting, and related operational processes.• Identify opportunities to improve operational efficiency, automate processes, and reduce errors.• Establish and maintain appropriate operational controls and review procedures.• Assist with the implementation and testing of new trading, portfolio accounting, billing, and reporting technology.• Maintain organized records and audit trails for operational and trading activities.• Support internal, regulatory, and third-party audits or examinations as requested.
Qualifications & Skills:
• Bachelor's degree in Finance, Accounting, Business Administration, Economics, or a related field.• 5+ years of experience in investment operations, trading, portfolio administration, or a related investment management role.• Strong understanding of investment trading workflows, trade settlement, portfolio reconciliation, and investment operations.• Experience with equities, fixed income, ETFs, mutual funds, and other investment vehicles.• Familiarity with investment advisory fee billing, portfolio accounting, performance reporting, and reconciliation processes.• Working knowledge of investment-related compliance requirements and controls, including client restrictions, trade errors, allocations, and best execution.• Experience working with Schwab or other major custodians and familiarity with investment management and portfolio accounting platforms such as Tamarac, Orion, and Black Diamond preferred.• Strong analytical and problem-solving skills with exceptional attention to detail.• Advanced proficiency in Microsoft Excel and comfort working with large data sets and financial reports.• Ability to manage multiple priorities and deadlines while maintaining a high degree of accuracy.• Strong organizational, documentation, and process-management skills.• Effective written and verbal communication skills with the ability to work collaboratively across Portfolio Management, Operations, Compliance, and client service teams.• Ability to handle confidential client and firm information with discretion.• Experience improving workflows, implementing operational controls, and supporting technology or process enhancements preferred.• This is an in-office position based in Red Bank, New Jersey.
