Human Resources Specialist + Community Schools Facility Rental Coordinator Hiring Pay Range: HR Specialist: $22.98 - $24.39/hr, DOE Facility Rental Coordinator: $19.81- $21.03/hr, DOE Schedule: HR Specialist: 6am - 12pm (30 hours/week) Facility Rental Coordinator: 12:30pm-2:30pm (10 hours/week) 40 hours per week combined, 12 months (261 paid days) for HR Specialist and 10 months (187 paid days) for Facility Rental Coordinator Benefits Eligible Location: Murphey Admin. CenterHuman Resources Specialist Definition: Under the immediate supervision of the Human Resources Manager, performs work of moderate difficulty coordinating employment functions and acting as a liaison with the district's substitute vendors.
Essential Functions:
- Maintains records for employees, including certified, classified, coaches, Community Schools, or volunteers, both electronic and paper
- Acts as the primary liaison with the district's substitute vendors. Ensures that daily absences are filled during the early morning hours and updates the on-line substitute/absence management system.
- Conducts orientations for new employees, ensuring that all necessary paperwork is completed and that employees receive appropriate policies and procedures. Also, prepares employee ID badges.
- Assists with the preparation of personnel memoranda for the Governing Board with new hires, terminations, status changes, etc.
- Generates and distributes periodic reports from the Human Resources Information System (database); Routinely communicates and coordinates with the Payroll Office.
- Recommends modifications to procedures when needed to ensure that processes and procedures run smoothly for the benefit of employees.
- Answers routine HR questions from employees and prospective applicants.
- Provides general support to the HR department. Provides backup support to the District Office Receptionist, covering lunches and absences.
- Performs other related duties as assigned.
- Knowledge, Skills and Other Characteristics:
- Knowledge of spreadsheets, word processing and financial/HR software
- Skill in accurately preparing, maintaining and proofing a variety of detailed employment records
- Skill in organizing and prioritizing work and meeting established deadlines
- Skill in performing data entry
- Skill in communicating effectively, orally and in writing
- Skill in establishing and maintaining effective working relationships with staff and administrators
Minimum Required Qualifications:
High school diploma or GED and two (2) years of administrative experience, preferably in Human Resources.
Facility Rental Coordinator:
Definition: Under general supervision performs work of moderate difficulty coordinating and providing administrative support for the rental of district facilities.
Essential Functions:
- Maintain databases and spreadsheets and generate periodic reports.
- Enter schedules into computer.
- Prepare word processing correspondence documents.
- Answer calls regarding District Facility Rentals.
- Route calls and take messages as needed.
- Coordinate, copy and distribute facility rental contracts.
- Maintain manual and automated filing systems.
- Greet and direct visitors to appropriate person or place.
- Communicate regularly with supervisor, co-workers, school site-based staff, rental event staff and potential facility renters.
- Calculate fees and generate facility rental contracts and invoices.
- Monitor, track and deposit rental payments and notify renters of unpaid invoices. Total and transmit monies. Maintain records of income. Prepare and submit deposit transmittals.
- Meet potential renters at school sites to provide tours of spaces they may be interested in renting.
- Manage the storage and destruction of old files according to Arizona State Law.
- Assume tasks as assigned by the Director of Community of Schools.
- Desired Knowledge, Skills and Other Characteristics:
- Knowledge of standard office practices and procedures.
- Knowledge of CFSD enrollment and residency rules and regulations.
- Knowledge of CFSD campus access rules and regulations.
- Knowledge of word processing and spreadsheet software.
- Skill in using word processing and spreadsheet software.
- Skill in communicating effectively, orally and in writing.
- Skill in establishing and maintaining effective working relationships with staff, administrators, students, parents and the general public.
Minimum Required Qualifications:
