Account Coordinator

Position Type: Contract (Part-time / ~30 hours per week)

Location: Remote (U.S.-based; Pacific Time overlap required)

Contract Duration: Through December 2026 / January 2027 (Potential for extension)

Role Overview: We are seeking a detail-oriented, highly organized Account Coordinator to join an award-winning in-house creative studio supporting a leading global medical technology brand. In this role, you will partner closely with Account Managers and cross-functional teams to support the planning, coordination, and delivery of integrated, omnichannel creative projects. Serving as a critical connector between Marketing, Creative, and Operations teams, you will ensure projects move smoothly from initial intake through final delivery while maintaining clear communication, accurate documentation, and timely execution. This is a support-focused role ideal for an Account Coordinator, Traffic Coordinator, or Junior Creative Project Manager who thrives in agency or in-house creative environments and excels at managing project workflows without requiring high-level strategic oversight.

Key Responsibilities: Project Coordination & Support: Assist Account Managers in managing creative projects from intake to completion; gather project requirements, document key details, create and maintain timelines, and ensure stakeholders have full visibility into status and milestones. Intake & Brief Management: Support project builds and setup within internal workflow management platforms upon project intake. Workflow Administration & Tracking: Maintain project information within project management software—keeping tasks, schedules, dependencies, and documentation up to date while proactively monitoring progress for potential bottlenecks or timeline risks. Cross-Functional Communication: Serve as a day-to-day point of contact for project-related communication across internal Creative Studio teams to ensure seamless information flow. Meeting & Status Coordination: Support project kickoffs, weekly status meetings, creative reviews, and debriefs by drafting agendas, capturing detailed notes, documenting action items, and following up on deliverables to maintain momentum. What Makes You Successful

Experience: 1–3+ years of experience in account coordination, project coordination, traffic management, or creative operations within an agency or in-house creative team. Creative Workflow Literacy: Foundational understanding of marketing and creative development processes, with the ability to interpret creative briefs, deliverables, and campaign objectives. Software Proficiency: Hands-on experience working with project management tools such as Asana, Workfront, Monday.com, ClickUp, Wrike, or similar workflow platforms. Organization & Detail: Exceptional organizational skills and high attention to detail, with the ability to track multiple concurrent priorities accurately. Communication: Strong verbal and written communication skills with a collaborative, service-oriented mindset and proactive follow-through. Problem Solving: Ability to navigate ambiguity by asking thoughtful questions, seeking clarity, and escalating issues appropriately.

Preferred Qualifications: Prior experience supporting healthcare, medical device, pharmaceutical, consumer marketing, or agency accounts. Familiarity with creative resource planning, workflow documentation, or operational reporting processes. Position & Schedule Details
