Position Summary: Full Circle Health Network is seeking an experienced EHR Systems Administrator to join our Information Technology team. Experience supporting, configuring, or administering Exym, Full Circle Health Network’s electronic health record (EHR) platform, is strongly preferred. The EHR Systems Administrator is responsible for the configuration, administration, optimization, and operational support of Full Circle Health Network's Electronic Health Record (EHR) platform. The role serves as the organization's subject matter expert for EHR configuration and ensures the system aligns with California Medi-Cal, CalAIM, DHCS, Managed Care Plan (MCP), HIPAA, and organizational requirements. Responsibilities include provider setup, health plan configuration, billing rules, rates, note templates, workflows, user administration, security roles, reporting, system documentation, technical support, quality audits, and continuous system improvement. The position works closely with Operations, Clinical Leadership, Finance, IT, Compliance, Quality, users, and external EHR vendors to support efficient workflows, regulatory compliance, data integrity, and high-quality care delivery.
Key Responsibilities: Administer, configure, and optimize the EHR platform to support clinical, operational, financial, quality, compliance, and regulatory requirements. Configure and maintain workflows, security, billing, provider and program configuration, forms, documentation, reporting, and automation. Ensure configuration supports applicable DHCS, CalAIM, Managed Care Plan, HIPAA, contractual, and organizational requirements. Lead system configuration for new health plan implementations, regulatory initiatives, organizational projects, and operational changes. Manage user provisioning, security roles, system access, and permissions. Maintain provider, organizational, health plan, and program configuration while ensuring data integrity. Design and support EHR reports, dashboards, and data extracts for operational, financial, clinical, quality, and compliance needs. Analyze business requirements and translate operational needs into effective EHR solutions. Evaluate workflows and determine appropriate EHR configuration solutions. Analyze regulatory, payer, and program changes and identify required system modifications, controls, testing, and implementation needs. Establish and maintain EHR governance standards, configuration documentation, change-control procedures, and system administration best practices. Coordinate testing, change management, validation, upgrades, releases, and configuration changes. Troubleshoot application issues and serve as an escalation point for complex system problems. Identify root causes of complex system issues and implement or recommend technical and operational solutions. Develop and maintain policies, procedures, training materials, configuration records, and release documentation. Provide technical guidance and education to users and cross-functional stakeholders. Review help desk trends and recurring issues to identify opportunities for system improvements, training, or workflow changes. Conduct system quality audits and configuration reviews to support accuracy, compliance, data integrity, and operational effectiveness. Partner with clinical, operational, finance, quality, compliance, and IT teams to improve system functionality and user experience. Coordinate with external EHR vendors and technology partners. Perform other duties as assigned.
Required Qualifications: Bachelor's degree in Information Systems, Health Information Management, Healthcare Administration, Computer Science, or a related field preferred. Minimum of five (5) years of experience administering or configuring Electronic Health Record systems. Experience supporting Federally Qualified Health Centers (FQHCs).Experience with report writing, SQL, data analysis, or business intelligence tools. Experience configuring healthcare software platforms. Experience supporting end users in a healthcare environment. Experience creating technical documentation and training materials. Experience using help desk software such as Zendesk, Freshdesk, Jira Service Management, or similar platforms. Ability to exercise discretion and independent judgment when evaluating system requirements, risks, alternatives, and operational solutions.
Preferred Qualifications:
  • Prior experience with "EXYM" EHR preferred
  • Experience with managed care, Medicaid, or Medi-Cal programs.
  • Experience supporting CalAIM, DHCS, or Managed Care Plan requirements.
  • Experience with healthcare billing, reimbursement, provider configuration, or related EHR functionality.
  • Experience supporting EHR implementation, optimization, upgrades, or change-management initiatives.
  • Experience with EHR governance, access administration, system auditing, or configuration-control processes.

Work Environment This position operates primarily in a remote professional office environment and requires frequent interaction with internal departments, leadership, providers, users, vendors, and external partners. Responsibilities include virtual meetings, EHR configuration, workflow analysis, reporting, documentation, help desk support, testing, implementation, and cross-functional collaboration. Work Location This is a remote position. The selected candidate must reside in the State of California and maintain a secure, professional home office environment. Occasional regional or statewide travel may be required for organizational meetings, provider support, EHR implementations, trainings, conferences, audits, vendor engagements, and other business-related activities. Physical Demands This position requires prolonged periods of sitting and computer use, reviewing electronic documents and data, and communicating by telephone and video conference. Salary Range: [$105,000 - $110,000]Final compensation will be determined based on experience, qualifications, technical expertise, internal equity, and organizational budget considerations.
