JOB PURPOSE:
***You must be authorized to work in the United States to be considered for this role. To assist the Head of Facilities in overseeing the day-to-day operations of the BBC Studios LA office, including coordination of Office Services functions such as Reception, Mailroom, and workplace operations. The role also ensures a high level of operational reporting, analytics, and service delivery to maintain an efficient and exceptional work environment.

Act as an effective communicator with an understanding of office operations and staff needs.
Create and maintain efficient systems, ensuring documentation and processes are organized and scalable.
Ensure consistent delivery of office services across reception, mailroom, and shared environments.
KEY RESPONSIBILITIES & ACCOUNTABILITIESLeadership & Operations:
Act as primary point of contact for Office Services functions, including Reception and Mailroom.
Support and oversee daily office operations across all service areas.
Provide backup support for the Head of Facilities.
Create and maintain SOPs and operational standards.
Organize and prepare complex documents into clear and concise briefings.
Set up and break down catering for meetings and events.
Coordinate with vendors (cleaning, pantry, building management) to resolve service issues.
Escalate facilities and workplace issues to the Head of Facilities as needed.
Mail Room ResponsibilitiesManage incoming and outgoing mail and package distribution.
Maintain mailroom cleanliness, organization, and supply levels.
Post and maintain team and office signage.
Maintain print hub cleanliness, functionality, and supply levels.
Manage all office supplies across departments.
Office Services Responsibilities:
- Maintain kitchen cleanliness, stocking, and supply levels.
- Wash and maintain catering dishes and equipment.
- Set and monitor dishwasher timers as needed.
- Conduct conference room checks throughout the day.
- Perform end-of-day conference room resets.
- Perform afternoon desk cleaning across the office.
- Reception ResponsibilitiesManage visitor experience using Zoom Visitor Management.
- Maintain cleanliness across reception, and lounge spaces.
- Perform start-of-day conference room and supply station checks
- Book office tours for first-time visitors and new joiners with Office or Facilities leadership.
- Manage access badge activation, and deactivation with building management.
- Redirect incoming phone calls appropriately.
- KNOWLEDGE, SKILLS. TRAINING, & EXPERIENCEProfessional Experience 3+ years of experience in office services management, including reception, mailroom, workplace operations, or event/catering coordination.
Knowledge and Skills:
Excellent organizational, planning, and time management skills.
Ability to manage multiple and competing priorities calmly and effectively.
Strong technical proficiency in office tools (Outlook, Excel, Zoom Workplace, Teams).High attention to detail with experience handling sensitive and confidential information.

Gym ReimbursementCOMPENSATIONThe anticipated annual base salary for this position is $60,000. The actual base salary offered depends on the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and geographic location of the position.
