About Reserve Row Reserve Row is a global alcohol brokerage and logistics platform specializing in bulk spirits, barrels, equipment, and complex inventory solutions. The role: The Bookkeeping & Office Assistant is a hands-on, full-time role based on-site in Nashville. You'll handle the day-to-day bookkeeping that keeps our books accurate and current - entering bills and adjusting invoices, coding credit card spend, tracking costs by deal, and preparing reconciliations and reports - and you'll help keep the office running: mail, packages, shipping, and supplies. It's a small, fast-moving team, so some days are heads-down in Quick Books and others are a mix of everything! Reports to the Finance & Administrative Manager, who oversees the company's books, month-end close, and financial reporting.
What you'll do: •       Record day-to-day financial transactions in Quick Books Online•       Enter vendor bills and update customer invoices, and keep accounts payable and accounts receivable aging current•       Follow up with customers on overdue invoices and provide relevant updates on status of client accounts.•       Track office credit card transactions, track expense reports, collect receipts, and code them in Quick Books•       Track costs by deal and allocate costs to the correct deal following established procedures.•       Review deal cost entries for missing or miscoded items and flag questions to the Finance & Administrative Manager•       Prepare bank and credit card reconciliations and month-end support for review•       Assist with generating recurring shipping, deal, and commission reports•       Prepare recurring job cost, AP/AR aging, and credit card spend reports for the Finance & Administrative Manager•       Receive and process mail and package deliveries, and handle outgoing shipping•       Maintain and order office supplies, and keep digital and paper records organized•       Assist with occasional administrative and operational tasks as needed Requirements•       Prior bookkeeping experience, such as accounting clerk or AP/AR work•       Working knowledge of Quick Books Online or comparable accounting software•       Good understanding of basic accounting principles•       Strong attention to detail and accuracy, and comfort following set processes•       Strong written and verbal communication skills, including with clients•       Proficiency with Excel or Google Sheets•       Able to handle confidential financial information with discretion•       Reliable, organized, and comfortable in a fast-paced small-team environment Nice to have•       Job costing or project/deal-based accounting experience•       Experience in a distillery, brewery, logistics, or wholesale environment•       Collections or customer billing experience•       Office administration experience Compensation•       $50,000 - $55,000 base•       Medical, dental, vision, 401(k)•       PTO and paid holidays
