Position Overview:
We are seeking an organized, tech-savvy Office Manager to support a C level executive, helping improve day-to-day operations, policies, and systems.
Key Responsibilities:
- Support development, implementation, and updates of program policies, procedures, and operational manuals
- Prepare, proofread, and format professional documents (reports, letters, presentations, policies, meeting materials)
- Use Microsoft Office and AI tools to streamline administrative tasks, data analysis, and document preparation
- Assist with program oversight, quality assurance, and monitoring to ensure compliance with Medicaid, DCA, and other funder requirements
- Support billing and invoicing procedures and help monitor internal compliance with documentation and service delivery standards
- Collect, track, and maintain program data for reporting and performance monitoring
- Maintain organized electronic and paper filing systems, ensuring accuracy, confidentiality, and adherence to record retention policies
- Serve as a professional point of contact for staff, government agencies and community partners
- Participate in internal audits, corrective actions, and quality improvement initiatives
- Assist with procurement, vendor communication, purchasing, and inventory management
- Provide high-level administrative support to leadership, including report preparation, research, data analysis, and executive summaries
- Schedule meetings, prepare agendas, record minutes, and track follow-up items
Qualifications:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Demonstrated experience using AI tools to improve administrative efficiency and workflow
- Bachelor’s degree in Public Administration, Business Administration, Healthcare Administration, Social Services, or related field preferred
- Experience with policy development, quality improvement, billing, or compliance strongly preferred
- Strong organizational, communication, and writing skills
- Ability to manage multiple priorities and meet deadlines
- Valid driver’s license with a clean driving record
- Ability to lift up to 25 lbs
