Position: Senior Executive Assistant / Junior Chief of Staff
Location: Miami, FL (In-Office)
Overview: Mindmaven is an executive coaching firm that works with CEOs, founders, and top executives—primarily in the startup and venture capital world—to help them unlock more leverage and focus on what matters most. We’re looking for a highly capable, proactive, and resourceful individual to join our client’s team in Miami as a Senior Executive Assistant / Junior Chief of Staff.
The Opportunity: This isn’t just a traditional EA role. You’ll act as astrategic partnerto the executives you support—anticipating needs, managing critical priorities, and ensuring nothing slips through the cracks. With the right mindset and skill set, there’s potential to grow into anEngagement Managerrole, combining the responsibilities of an Executive Assistant and a Chief of Staff.

What You’ll Do:
  • Manage calendars, schedules, and priorities for executives
  • Oversee inboxes and CRM systems to ensure timely, clear communication
  • Coordinate meetings, prepare agendas, and track follow-ups
  • Research and compile information for key initiatives
  • Manage domestic and international travel arrangements
  • Handle relationship management and special projects
  • Maintain organization using tools like Asana, Slack, and ZoomWhat You Bring 3+ years of executive-level administrative supportto C-suite leaders in financial, tech, VC, or startup environments (Required)
  • At least 1 year supporting at the Founder, CEO, and/or President level.
  • In-office or hybrid work experience in a high-performance setting (Required)
  • Proficiency with Microsoft Office Suite & Google Workspace (Required)
  • Mastery of Outlook or Gmail calendar and email management (Required)
  • Experience with travel booking (domestic & international) (Required)
  • Familiarity with Asana, Slack, and Zoom (Highly Desired)
  • Dictation/transcription skills (Highly Desired)
