About the role

The Facilities Management Director / Workplace Operations Lead / Space Utilization Planner oversees the buildings, services, and workplace arrangements that enable employees and visitors to use organisational premises safely and effectively. This role combines facilities planning, daily service coordination, and space analysis to support operational continuity, employee experience, and efficient use of property resources. The position works closely with Property, HR, Finance, IT, Security, Procurement, business departments, landlords, and external service providers. Responsibilities include coordinating maintenance, cleaning, workplace services, contractor activities, and facilities projects. Space-planning responsibilities include assessing occupancy, reviewing workplace requirements, maintaining floor plans, and developing proposals for layouts, relocations, and changes in capacity. The role monitors service performance, expenditure, and workplace feedback to identify improvements. At director level, the role defines facilities strategy, oversees budgets and provider relationships, and prioritises investment across the property portfolio. At workplace-operations lead level, it manages service delivery and resolves operational issues. At planner level, it analyses space demand and develops practical allocation options. Across all levels, the role supports accessible workplaces, clear operating procedures, preventative maintenance, and coordinated responses to disruptions while balancing cost, service quality, and business needs.
Qualifications: Bachelor’s degree in Facilities Management, Property Management, Building Services, Engineering, Architecture, Business, or a related field, or equivalent practical experience. Relevant professional qualification or training in facilities management, workplace planning, or project management is an advantage. Experience in facilities management, workplace operations, property services, space planning, or a related discipline. For director-level positions, demonstrated experience leading facilities teams, managing budgets, and overseeing multiple sites or service providers. Understanding of building operations, preventative maintenance, asset condition, and coordination of specialist technical services. Experience managing contractors, service agreements, supplier performance, and operational service standards. Ability to plan and coordinate workplace moves, refurbishments, maintenance projects, or changes to office layouts. Experience analysing occupancy, utilisation, capacity, and departmental requirements to support space-allocation decisions. Familiarity with floor plans, CAD tools, workplace-management platforms, or facilities-management systems. Ability to develop budgets, monitor expenditure, review supplier costs, and assess investment proposals. Awareness of workplace safety, accessibility, emergency arrangements, and escalation of building or service risks. Experience coordinating with landlords, building management, internal departments, and external technical specialists. Ability to maintain accurate asset records, service documentation, space data, and operational reports. Strong communication, negotiation, stakeholder-management, and problem-solving skills. Sound judgement, attention to detail, and ability to balance service priorities, employee needs, operational constraints, and cost efficiency.
