About the role

Jones Walker is seeking an experienced Legal Administrative Assistant to support attorneys in our Miami office. We are looking for a proactive, highly organized professional who understands litigation support, takes ownership of assignments, and helps keep cases, deadlines, and follow-up items on track.
What You’ll Do: Monitor pleadings, court notices, correspondence, and ongoing case activity. Manage attorney calendars, court deadlines, hearings, depositions, mediations, and trial-related dates. Prepare, revise, proofread, and electronically file documents in state and federal courts, including through CM/ECF. Download, save, organize, and circulate court filings and notices, ensuring that deadlines and required actions are captured. Assist with new matters, including conflict checks, engagement letters, retainer agreements, and file-opening documentation. Coordinate depositions, hearings, mediations, trials, and document productions. Organize high volumes of electronic documents, correspondence, and case materials. Support billing, e-billing, reimbursements, and other practice-related administrative needs. Communicate professionally with clients, courts, experts, opposing counsel, vendors, and colleagues. Use secure file-sharing, document-management, contact-management, and litigation-support technology effectively. Anticipate needs, follow up without being asked, and help ensure that nothing falls through the cracks.
What We’re Looking For: Three or more years of legal administrative experience, preferably in litigation; criminal litigation experience preferred. Experience with state and federal court filings, electronic filing systems, and litigation calendaring. Familiarity with court rules and deadline calculation. Strong proofreading, document-formatting, organizational, and communication skills. Ability to manage multiple active matters and competing deadlines with accuracy and sound judgment. Advanced Microsoft Office skills and experience with legal technology. Familiarity with ShareFile, Relativity, or similar platforms is a plus. A collaborative, service-oriented professional who can work independently and remain composed in a fast-paced practice. The ideal candidate is a true litigation LAA who does more than react to individual requests. This person monitors activity, anticipates what comes next, and serves as a reliable partner in managing a high-volume litigation practice. Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. Duties, responsibilities and activities may change at any time with or without notice. The Human Resources department will conduct interviews of qualified individuals prior to requesting a criminal background check, and no job application submitted prior to such interview shall inquire into an applicant's criminal history. If this position is subject to a background check for any convictions related to its responsibilities and requirements, employment will be contingent upon successful completion of a background investigation including criminal history. Criminal history will not automatically disqualify a candidate.
